Who we are

This portal is operated by a resident of Renown House for the benefit of fellow residents. It is not a commercial service. For questions about this notice, contact the administrator (details below).

Messages are sent through a WhatsApp Business Account registered to SoftCare HealthWare LTD, the administrator's own company, which is used purely as the technical means of running this portal's WhatsApp integration. If you see that name as the contact in WhatsApp, it is the same portal — not a different organisation.

What we collect and why

• Phone number — used to identify you and to deliver your login link via WhatsApp. Legal basis: legitimate interest (securing access to a residents-only service).
• Display name — shown alongside posts and issue reports you create. You choose this yourself and can update it at any time.
• Posts and file attachments — content you voluntarily share with other residents in the News & Documents section.
• Issue reports and updates — information you submit about building issues, including any comments or status changes.
• Login tokens — short-lived (30-minute) single-use tokens generated when you request access. These are deleted immediately on use or on expiry.

Who can see your data

• All approved residents can see posts, file attachments, issue reports, and display names.
• The building administrator can see phone numbers, registration status, and all resident content.
• No data is sold or shared with any third party for marketing purposes.

Third-party services

Login links and codes are delivered via WhatsApp (Meta Platforms Ireland Ltd), sent from the business account registered to SoftCare HealthWare LTD (see "Who we are" above). When we send you a message, your phone number is transmitted to Meta's API. Meta's own privacy policy applies to that transmission. We do not use WhatsApp for any purpose other than delivering your login link or code.

How long we keep your data

Your data is kept for as long as you are a resident of Renown House or until you request deletion. Posts and issue reports remain visible to other residents unless you delete them yourself or ask the administrator to do so.

Your rights

Under UK GDPR you have the right to access, correct, or delete the personal data we hold about you, and to object to or restrict its processing. To exercise any of these rights, contact the administrator.
